Who this notice covers
This notice covers information collected through the EBA website, the secure enquiry form, direct email and links to the external Calendly booking service. A separate client privacy notice or engagement documentation may apply after you become a client.
Information collected through the enquiry form
The form collects your name, business name, email address, requested service, current software, whether the business operates in construction or under CIS, and the message you provide. It also records campaign parameters, the landing page and referring website when available.
To limit spam, the site uses a hidden field, a minimum completion time and a temporary one-way hash derived from the connecting address. The raw address is not stored in the enquiry record.
How enquiry information is used
The information is used to respond, assess whether the requested service is a suitable fit, arrange a conversation and take steps you request before entering into a contract. The usual lawful bases are steps taken at your request before a contract and EBA’s legitimate interest in responding to genuine business enquiries and protecting the website from abuse.
Website hosting and form storage
The website and form database are hosted on infrastructure provided through OpenAI Sites and Cloudflare. Enquiry records are stored in the website’s protected database and are not published.
Direct emails are processed by EBA’s email provider. The website is prepared to use Resend for automatic enquiry notifications and confirmation emails when a verified sending domain and service credentials are enabled. When enabled, the submitted name, email, business and enquiry details are sent through that provider.
Do not send bank details, passwords, tax references, identity documents or financial records by ordinary email. A secure route should be provided when these are needed.
Calendly discovery calls
Booking links open Calendly, which collects the details requested on its booking page and may use its own cookies and technical data. Review the information shown by Calendly before submitting a booking. The EBA website records a booking-page click, but a completed booking is recorded only when Calendly is configured to return the visitor to EBA’s booking-confirmed page.
Website analytics
EBA uses first-party, privacy-conscious event measurement. It records the page path, event type, an optional page label and the referring hostname. It does not set an analytics cookie, create a cross-site profile or store the full referring URL.
EBA also uses Google Analytics 4 through Google Tag Manager to understand how visitors use the website. Google Analytics storage is denied unless you choose “Allow Google Analytics”. Advertising storage, advertising personalisation and advertising user data remain denied. When Analytics is declined, Google tags may send limited, cookieless measurement signals.
Google may process technical data such as page URLs, device and browser information, approximate location derived from the connecting address, and interaction data. EBA uses this information to improve the website and understand which pages and services are useful. Your choice is stored in your browser and can be changed at any time.
Retention
Website analytics events are scheduled for deletion after 13 months. Enquiries that do not become a client are scheduled for deletion after 24 months unless a shorter period is appropriate or the information is needed to establish, exercise or defend a legal claim. Client records follow the retention periods stated in the client privacy and engagement documentation.
Sharing and international processing
Information may be processed by providers used for hosting, database storage, email, scheduling and analytics, including Google when you allow Google Analytics. Provider terms, processing locations and transfer safeguards are reviewed before a provider is enabled or changed. Information is not sold.
Your rights
Depending on the circumstances, you may ask for access, correction, deletion, restriction, objection or portability. You may also ask EBA to explain how your information is used.
Privacy complaints
Send a complaint to larissa@easybusinessaccounting.com. EBA will log the complaint, acknowledge it, investigate the systems and records involved, and provide an outcome. You also have the right to complain to the Information Commissioner’s Office.
Changes to this notice
This notice should be reviewed whenever the form, email provider, scheduling service, hosting, analytics, legal identity or data handling process changes.
